Background:

Defence Member Family Support TCS (Transition Coaching and Support) (DMFS TCS) offers a broad range of programs and services to help Commanders, Australian Defence Force members and their families manage the military way of life. TCS supports Defence families' self-reliance and increases the capacity of the wider community to support the needs of Defence families.

Australian Defence Force (ADF) TCS provides administrative support to all permanent ADF members separating from the military or transferring to the reserve force.

About the Role:

As one of the Transition National Support Administrators (TNS) you will be responsible for delivering administrative support services to ADF members in the process of leaving the ADF. Assisting them in their exit with the view to maximise their chances of a successful transition to civilian life. The Defence Force Transition Program provides access to specialist advice, paid leave and training to support members and their families in their transition to civilian life.

About You:

You have demonstrated experience working in a fast-paced environment providing administrative support with a strong focus on customer service. You have exceptional attention to detail and strong aptitude for systems. You have a professional approach with the ability to influence whilst managing a high volume of cases at any one time. You have a Passion for helping others and providing outstanding service.

The maintenance of accurate case/client data records and the provision of quality client service are essential to this role. Intensive workplace training to learn standardised coaching practices will be required to be undertaken.


Responsibilities

You shall provide administration deliverables on an ongoing basis as directed by the Project lead. These include:

  • Monitor and maintain the group inbox, responding to client enquiries

  • Manage and maintain accurate records utilising multiple systems

  • Point of contact for general enquiries by telephone, electronic media or in person from internal and external stakeholders (ie. Transition Coaches, transitioning members, current serving members etc.).

  • Administrative support to the TNS staff, including but not limited to, record management (scanning and filing internal correspondence), pulling analytic stats for the TNS Coordinator, Team Lead or Assistant Director when required

  • Assist with the completion of AdHoc tasks as directed by the TNS Team Lead or Assistant Director.

  • Responsible for maintaining working relationships with both internal and external stakeholders.

  • Basic Data Entry duties (ie. raising and registering transition cases and other records).

To succeed in the role, you will need:

  • Australian Citizen - this is a requirement of the role

  • AGSVA Baseline Security Clearance required or ability to obtain and uphold

  • A proven ability to effectively communicate in writing and verbally, both in person and using digital platforms

  • Demonstrated organisational and time management skills with the ability to organise and prioritise own work

  • Ability to establish and maintain positive working relationships with both internal and external stakeholders

  • Ability to meet deadlines in a timely manner to achieve results

  • The ability to work effectively in a team environment

  • Highly organized with the ability to multitask in a fast-paced environment

  • Ability to consistently execute on daily responsibilities with minimal oversight
