A Federal Government client based in Canberra is seeking an APS4 Policy and Regulation Administration Assistant for an initial 6 month contract with a possible 6 month extension.

About the Department:

The Policy and Regulation Division develops and implements policies to protect the marine environment from ship sourced pollution and keep domestic and international shipping safe.

The Division manages the regulatory and policy framework to:

  • Manage risks to safety and the environment posed by domestic commercial and regulated Australian vessels;
  • Ensure ships visiting Australian ports or transiting our waters are seaworthy, have competent crews, and are able to safely navigate our sensitive marine areas; and
  • Minimise the impacts of shipping on the environment.

It achieves its purpose by:

  • Maintaining the regulatory and policy framework, standards and guidance;
  • Building robust partnerships with stakeholders to inform policy and regulatory decisions;
  • Working internationally through bodies such as the International Maritime Organization (IMO) and with, neighbouring countries and our largest trading partners to achieve common goals;
  • Providing our colleagues and stakeholders with policy, regulatory and technical advice; and
  • Keeping abreast of our changing operating environment, particularly technology, industry changes both domestically and internationally so that the organisation is ready for opportunities and challenges.

What to Expect:

Reporting to the Executive Officer the Team Coordinator will be responsible for providing administrative support as required for meetings, conferences and general support across the Division.

Responsibilities of the Policy and Regulation Administration Assistant include:

  • Assist with the efficient day to day coordination of the Policy and Regulation division
  • Meeting support and venue coordination including monitoring the divisions stakeholder engagement schedule,
  • Domestic and international travel bookings and issues resolution
  • Financial transaction processing and procurement support including policy and regulation business hub activities, Telstra service provisioning and cancellation, and minor supplies coordination
  • Sharepoint administration support
  • Team coordination support
  • Assist with other tasks and projects as directed by the Executive Officer
  • Perform the duties of the Executive Officer during absences

About you:

  • Demonstrated experience in communicating with a broad range of stakeholders
  • Demonstrated experience in providing administrative support
  • Demonstrated experience in providing secretariat support, including the taking and drafting of meeting minutes
  • Working knowledge of Microsoft Office suite of applications
  • Ability to learn new systems quickly
