Job description
Job Title: Facilities Management (FM) Coordinator - Contract
We are currently seeking an experienced Facilities Management (FM) Coordinator to support a client site in Gepps Cross.
This role will act as a key on-site liaison, ensuring smooth coordination between all stakeholders and minimal disruption to business operations throughout the works.
Importantly, this is not a project management or construction delivery role. Instead, the focus is on site coordination, communication, and operational readiness.
Key Responsibilities
Site Coordination & Liaison
Act as the primary point of contact between client operations, landlord project managers, contractors, and security teams
Facilitate clear communication across all stakeholders to ensure alignment on project activities and site requirements
Represent the occupier's interests during all phases of the works
Operational Readiness
Coordinate site preparation ahead of scheduled works (primarily weekends), including:
Access arrangements and approvals
Safety and compliance confirmations
Site readiness checks
Ensure minimal disruption to day-to-day operations
Project Support & Communication
Attend and contribute to weekly coordination meetings with stakeholders
Provide regular updates on project progress and any operational impacts
Manage and distribute communications relating to site access, disruptions, and safety updates
Post-Works Site Management
Conduct post-weekend inspections to confirm site is operationally ready
Identify and escalate any issues or defects impacting business operations
Coordinate any required follow-up actions
Stakeholder Engagement
Build strong working relationships with internal teams and external contractors
Ensure all parties are informed, aligned, and operating efficiently within site requirements
Working Arrangement
This role is expected to follow a structured but flexible schedule, including:
Onsite presence: Monday and Friday (coordination and site checks)
Mid-week (Wednesday): Coordination, meetings, and administrative support (onsite and/or remote)
Weekend support: On-call availability (primarily remote), with potential onsite attendance if required
Please note this structure may evolve in line with the final project program.
Key Requirements:
Previous experience in Facilities Management, Site Coordination, or similar roles
Experience working in live operational environments during maintenance or construction works
Strong communication and stakeholder engagement skills
Ability to coordinate multiple parties and manage competing priorities
Confident working autonomously and making decisions on-site
High attention to detail, particularly around safety and operational readiness
Flexibility to support occasional after-hours or weekend activities
