Job description
Utilise your Business Support/ Coordination Officers or Project Administration experience within a State Government department based just outside the Melbourne CBD in East Melbourne on a 6-month temporary contract with availability to extend with the project.
The VPS4 Project Administrator is a newly develop role operating within an established team withing the Infrastructure and Resources Division. The specific project would be supporting the establishing of a governance board where duties include providing project support with a keen eye for detail, ensuring milestones are maintained.
Key responsibilities include:
- Provide project support to assist in meeting agreed project objectives, service delivery standards and timelines, stakeholder expectations and client needs
- Provide a range of administrative support activities for the project team including financial records, drafting and preparing reports, development of standard communication, scheduling meetings organisation of meeting documents and minute taking/distribution, data entry, and records management in the department's record management system
- Develop, implement, and maintain efficient project administration systems and processes including document tracking and control and proactively creating and implementing new systems to streamline processes as required
- Establish relationships and liaise with a diverse range of stakeholders, contractors, suppliers, and government agency counterparts in relation to planning, project management and support functions
- Identify and communicate risks and issues as they arise and work collaboratively to mitigate or resolve them respectively
Required competencies:
- Demonstrated ability to provide operational and administrative support to project teams or business units
- Demonstrate strong attention to detail, maintaining accuracy across project documentations
- Ability to communicate effectively via written and verbal channels including developing correspondence, collating reports, and providing clear information to ranging audiences
- Work collaboratively to build supportive and cooperative team environments via knowledge and information sharing in response to issues
- Ability to manage stakeholders, understanding their underlying needs and issues, negotiating effectively to develop and implement solutions
