Job description

Air Ambulance Administrative Role - Overview

Key Responsibilities

  • Handle front desk duties: answer phones, greet visitors, manage deliveries

  • Support senior managers: schedule meetings, book travel, prepare documents

  • Assist with paperwork: agendas, minutes, reports, memos, correspondence

  • Maintain systems: filing, document management, intranet updates, training records

  • Support recruitment: prepare induction packs, gear allocation, coordinate scenario days

  • Assist with training: track staff currency, send updates, liaise with contractors

  • Provide backup during emergency escalations

General Administration

  • Manage office supplies and stock

  • Process invoices, purchase orders, and petty cash

  • Compile reports: financial, operational, clinical

  • Develop marketing and printed materials when needed

  • Maintain internal platforms: LMS, intranet, SharePoint

  • Help with research and data analysis

Safety and Workplace

  • Follow safety protocols and report hazards

  • Support an inclusive and respectful working environment

Stakeholder Engagement

  • Liaise with internal teams and external partners, contractors, and suppliers

  • Assist with medical equipment and consumables procurement

Skills and Experience

  • Strong administrative and secretarial background

  • Proficiency in Microsoft Office and document management systems

  • Skilled in coordinating meetings and minute-taking

  • Experience in emergency services or high-pressure environments is an advantage
