Job description
Primary Purpose of the Role
The administrative team will:
- Remove all administrative tasks from recruiters
- Create consistency, accuracy, and speed across recruitment workflows
- Maintain compliance checks and audit readiness
- Map and document processes for the new operating model
- Build an admin function that supports future scalability
- Enable recruiters to move into their new specialised roles
Your work directly impacts the efficiency, accuracy, and overall performance of the entire recruitment team.
Key Responsibilities of the role:
- Managing the Recruitment Administration Workflow
You will own the recruitment admin workflow from end to end, ensuring accuracy, speed, and consistency.
Key tasks:
- Receive approved requisitions from the system
- Enter roles into PageUp with complete and correct data
- Allocate roles to the appropriate recruiter
- Follow up missing information with stakeholders
- Keep the workflow moving and escalate bottlenecks proactively
- Offer & Compliance Peer Review
Before offers can be finalised, the admin team conducts mandatory checks:
- Confirm police checks are completed
- Ensure interview questions are attached in PageUp
- Verify reference checks and supporting documents are uploaded
- Review all offer documentation for audit readiness
- Flag gaps and inconsistencies immediately via Teams
This ensures compliance, protects the organisation from risk, and supports a consistent candidate experience.
- Financial Administration
You will support the accuracy and integrity of recruitment financial by:
- Entering and validating purchase order (PO) numbers
- Coding and processing invoices
- Tracking financial approvals and ensuring alignment with internal controls
- Process Mapping & Documentation
Project Administrators will support:
- Gathering process information
- Maintaining documentation
- Updating manuals as systems and processes evolve
- Stakeholder Management
You will work closely with a large and diverse internal recruitment team, including:
- Recruiters
- Senior Recruiters
- Candidate Managers
- Coordinators
- Recruitment Managers
- Director-level stakeholders
You must adapt your communication style, provide timely updates, and use Teams chat extensively for quick turnaround tasks.
- Operating in a Complex, High-Volume Environment
The organisation is large and process heavy, so admins must be comfortable with:
- Multi-layered approval pathways
- High compliance expectations
- Fast-moving recruitment activity
- Constant workflow bottlenecks that require proactive resolution
- Navigating multiple systems simultaneously
